The Timesheet entry screen appears right after you log in. This
page should look something like this:
Note that only administrators and managers will see the Employee
pull down list. Ordinary employees will not see this field. The
Employee pull down list allows the selection of the different
employees to see their entered time. After selecting a different
employee you must press the Load Timesheet icon to see that employee's
timesheet.
In addition,
administrators and managers will see two additional icons in the
Action toolbar above the timesheet: Reject Timesheet (icon with a
timesheet and a cross) and Approve Timesheet (icon with a timesheet
and a checkmark). The Reject Timesheet icon will cause the current
timesheet to revert to an unsubmitted status after clicking it. The
Approve Timesheet icon will cause the selected employee's timesheet
data to be approved on clicking on it.
To add time for the week first choose the week start date in the top left corner. This is the first day of the week for the period you wish to enter time for. The week start date will default to start of the current week. Next, click in the first white cell of the timesheet grid. A pull-down list will appear. Select the Client you wish to enter hours for. Tab over and similarly enter a Project or Task if you wish. If you do not want to enter a client, project or task just leave the fields blank. Tab over to enter the number of hours worked on that project for the week. Include a comment note for the work if desired. Repeat for any additional projects you have billed time to for the week. When you are finished, click the Save Timesheet icon (icon with a timesheet and floppy disk) from the Action toolbar above the timesheet. This will save the time data to the database.
The individual projects can be users in the Data Manager. If this has been done, when a new client is selected only the projects that are associated with the current user will show up on the Project pull-down list. If no users are associated with a project then all projects will be listed.
You can enter four different types of hours on this screen: regular, holiday, sick day and overtime hours. To enter for a new type of hour you must first select the hour type by clicking the appropriate hourly option. The hourly options are located to the right of the Week Start Date field. Then refresh the time sheet by clicking Load Timesheet icon from the Action toolbar above the timesheet. After entering the hours be sure to save them.
Timesheet data can also be edited using the timesheet entry form.
If you select a week for which you already have time saved this time
will show up on the timesheet form when the time sheet is loaded. To
load the timesheet click the Load Timesheet icon from the Action
toolbar. You may change this time or add new time. When you save the
changed timesheet the original records will be replaced by the new
records.
To view reports press the Reports hyperlink at the
top of the screen. See also: Viewing
